Job Posting for Office Assistant - Adult Continuing Education Center at Opportunities, Inc.

General Description of Duties:
Responsible for performing a variety of office tasks related to secretarial and reception duties for the Adult Day Services program.

Qualifications/Certifications Required:

  • Education: High School Diploma or equivalent.
  • Two years of office/clerical support experience.
  • Annual TB Skin Test.
  • Valid Driver's License.

Required Knowledge, Skills and Abilities

  • Strong organizational skills and attention to detail.
  • Computer skills with knowledge of: Microsoft Outlook, Word, Excel & Calendar.
  • Agency expectation is that you will be proficient in agency and program software within thirty days of employment.
  • Ability to effectively resolve problems or issues using judgment that is consistent with standards, policies, procedures, regulation and/or government law.
  • Skilled in verbal and written communications.
  • Must possess strong interpersonal and phone skills.
  • Must be able to prioritize and plan work activities to use time efficiently.
  • Must be organized, accurate, thorough and able to monitor work for quality.
  • Must be dependable, able to follow instructions, respond to management direction and able to improve performance through management feedback.
  • Possesses integrity and compliance – can be relied upon to act ethically.
  • Exhibits professional work habits and dress.

Qualifications Preferred:

  • Associates Degree
  • 3-4 years in office management.
  • Experience working with individuals with developmental disabilities.

Duties:

  • Open facility in the morning and complete daily building checklist.
  • Be knowledgeable of service delivery and operations.
  • Function as "greeter" and receptionist.
  • Maintain general files/consumer files and update face sheets.
  • Assist with updating and maintain the client's schedule.
  • Perform office duties (including all internal and external mail, phone calls, copying, filing, etc.).
  • Document attendance information/USDA daily meals and snacks.
  • Prepare daily attendance forms.
  • Notify Central Kitchen and Administration of daily food count.
  • Handle all internal & external mail.
  • Assist with enrollment process (enrollment packet and application).
  • Enter consumer information as directed in LifeLoop and Therap programs.
  • Balance daily transportation.
  • Maintain purchase orders and submit them to finance in a timely manner.
  • Complete daily attendance for finance billing.
  • Prepare private pay statements and send to caregivers every Friday.
  • Accept and submit private pay payments to Administration.
  • May assist with loading and unloading buses.
  • Assist Director with group activities as needed.
  • Prepare statistical reports, correspondence, and other data as required.
  • Notify caregiver through correspondence or phone calls of upcoming meetings.
  • Comply with federal, state and agency policies, procedures and regulations.
  • Participate in training, in-services, conferences and seminars as requested.
  • Follow directions of supervisor, performing other duties as assigned.

Physical Requirements:

  • Communication - English speaking
  • Sitting for 3-4 hours consecutively

  • Standing 1-2 hours consecutively
  • Hearing for conversation
  • Stooping, kneeling, bending, twisting, crouching
  • Lifting up to 50 lbs.
  • Use of hand, wrist, fingers
  • Pushing/pulling up to 50 lbs.
  • Vision for driving and reading
  • Reaching overhead and in front of body
  • Walking for short distances

Reports to: Director of Adult Day Services

Job Type: Full-time

Pay: $12.00 per hour
